Interlibrary Loan Services for Faculty & Staff

Interlibrary Loan (ILL) services are provided to all William & Mary Law School students, faculty and staff. Please use the online ILL request form to request materials that are not available in the Wolf Law Library's collections. You may also contact [[lawill]], your Library Liaison (full-time faculty only), or your RA who can submit a request for you. ILL services seek to borrow physical loans or obtain digital copies from partner institutions, subject to availability and applicable policies. (Valid W&M Law School login required)

The copyright law of the United States governs the making of reproductions of copyrighted materials. Before requesting an ILL, please read and understand these copyright restrictions.

What Happens Next?

Once you submit a request, the ILL staff begins locating the material from another library or institution. You will receive email notifications regarding the status of your request. Delivery times vary for physical items, depending on the location and response time of the lender. We prioritize requesting ILLs from nearby libraries whenever possible to speed up the process. Many items can be received within 2-3 business days; however, some can take up to 10 business days. Scans can take significantly less time, typically 48 hours or less.

Getting Your Materials

When your ILL arrives, you will also receive an email notification. Physical items will either be delivered to your faculty box or an email will be sent to your RA for pickup, depending on the preference you indicated on your request form.  Any ILLs that are not picked up by their due date will automatically be returned.

When scanned materials arrive they are sent via email to the requester(s).

Swem and Other W&M Libraries' Materials

Physical Items

Faculty and staff can request physical materials from non-Law libraries at the College in three ways:
  • Log into our catalog using your W&M username and password, find the record for the item that you want, and click on "Request" under Find or Request,
  • Use our online ILL request form, or
  • Contact your Library Liaison if you have one to have a request placed on your behalf.

Regardless of which you choose, materials are normally delivered to your mailbox or office Mondays through Fridays within 48 hours of initiating your request.

Scans

Other libraries at W&M will digitize chapters and articles for you. You can initiate a scan request by contacting your Library Liaison if you have one.

 

ILL Policy for Law Faculty

This policy describes the processes and parameters for law faculty requesting and borrowing ILL materials for their own research.

Limitations

The law library will not process ILL requests for...

  • materials that are available in any form at any W&M library, except Richard Bland College Library or the VIMS library. If the item is on loan, circulation desk staff will first make an attempt to recall the item. However, you may use this form to request W&M library items be delivered to your office, your faculty box, or to the law library's circulation desk for pick up.

  • borrowing physical periodical materials such as newspapers and journals. Articles from these sources must be requested as a PDF Scan/Copy instead.

Fees

Every effort will be made to obtain ILL materials free of charge. However, when this is not possible, the law library contributes up to $20 for each ILL request, and the faculty member is responsible for any remaining costs associated with borrowing the material. Prior to proceeding with a request which will result in charges, the ILL staff will send you an email, alerting you of the potential fee. If you accept the potential fee, the ILL staff will proceed with the request.

Loan Periods

Loan periods for each ILL may vary, depending on the lending institutions' policies. All ILL materials are subject to recall at any time.

Renewals

Loan periods for some ILLs may be extended; however, some may not be renewable. The ILL staff will try to renew all ILLs one time, unless they are marked "No Renewal." After the first renewal, you will receive email reminders near the due date and it is your responsibility to request another renewal or return the item. Requests for renewals should be made before the material is due. Whenever a renewal request has either been approved or denied, the requester will receive an email notification.

Overdue Materials

Not returning an ILL on time can negatively affect the library's ability to borrow from other institutions in the future. When an ILL is overdue, an email notification will be sent to the requester. If overdue materials are not returned after receiving a final overdue notice, your PDF account will be charged, or you will be issued an invoice for the fees associated with the overdue or missing ILL.

Retention of Scanned ILL Materials

The ILL staff stores PDF scans of every copy/scan requested through interlibrary loan for a period of time in case it needs to be re-downloaded, after which they are deleted.
